Annual/phased registration of sites

All sites with a duration longer than 18 months must be registered either annually or in natural phases.

Annual registration allows for sites to be considered for National Site Awards each year. This type of registration is encouraged, as rewarding sites for their efforts in meeting the Scheme’s expectations, is a significant reason for registration. In order to be considered for a National Site Award, a registration period must have completed before 31 December in the year prior to the Awards ceremony.

If a long duration site has a start date after 1 April, the Scheme recommends that the site registers from this date until the end of the year, and then annually from then on. In many cases this will result in the final registration being only part of the year.

For example, a site that starts in June 2010 and ends in May 2012 should be registered as:

First registration: June 2010 – Dec 2010
Second registration: Jan 2011 – Dec 2011
Third registration: Jan 2012 – May 2012

When registering in this way, the fee payable should be worked out by dividing the total project value by the number or registrations. This figure is used as the annual registration value against the Scheme’s price bands. For example:

£21 million (total project value) / 3 (number of registrations) = £7 million (registration value per year) - £600 + VAT (registration fee payable per year)

Sites may wish to register in natural phases, which do not coincide with the Annual National Site Awards year. If you choose this type of registration the Scheme will contact you to advise the best way to register.

If a site has a start date of October 2010 and a completion date of February 2013, it would be inappropriate to suggest that all registrations for this site should coincide with the Annual National Site Awards.  This is because the start date is too close to the end of the year and the end date is too close to the beginning of the year. This site should be registered as:

First registration: Oct 2010 – Dec 2011
Second registration: Jan 2012 – Feb 2013
